1. Introduction

Solera Medical Apparel Ltd. ("Solera," "we," "us," or "our") operates the Solera Scrubs website. This Privacy Policy explains what personal information we collect from visitors and customers, how we use and share it, and the choices available to you. By browsing our site or placing an order, you agree to the practices described in this Policy. This Policy applies only to information collected through our website — not to any third-party sites we may link to.

2. Information We Collect

We collect the following categories of personal information:

  • Order and contact information: We do not offer customer accounts — all orders are placed as a guest. At checkout, we collect your name, shipping address, billing address, email address, phone number, and details about the items you ordered.
  • Payment information: Payments are processed securely through Shopify Payments and its payment partners. We never see or store your full credit card number.
  • Survey and feedback responses: If you complete a survey through Tally, we collect whatever information you submit, which may include your name, email address, and feedback or opinions.
  • Marketing information: If you sign up for our marketing emails (sent through Shopify Email), we collect your email address and engagement data such as opens and clicks.
  • Automatically collected information: When you visit our site, we and our service providers automatically collect information such as your IP address, browser and device type, pages viewed, and referring website, using cookies and similar technologies, including the Meta Pixel (see Section 4).

3. How We Use Your Information

We use the personal information we collect to:

  • process, fulfill, and ship your orders, and process payments
  • communicate with you about your order, including confirmations and shipping updates
  • respond to customer service questions
  • send marketing emails if you've opted in, and honor your unsubscribe requests
  • collect and review survey feedback through Tally to improve our products
  • show and measure the performance of our ads on Facebook and Instagram using the Meta Pixel
  • maintain records required for tax and accounting purposes, including GST
  • maintain the security of our website and prevent fraud

4. Cookies and Tracking Technologies

Our website uses cookies and similar technologies, including:

  • Shopify's essential cookies, required for core functions like your shopping cart and checkout.
  • Meta Pixel, a tool from Meta Platforms, Inc. that helps us understand how you interact with our site after seeing an ad on Facebook or Instagram, show you more relevant ads, and measure ad performance. The Meta Pixel may collect information about your visit and share it with Meta, which Meta may combine with other information it has about you.

You can control cookies through your browser settings, and manage the ads you see from Meta through your Ad Preferences on Facebook. Our website does not currently respond to browser "Do Not Track" signals.

5. Third-Party Service Providers

We work with the following service providers, each of which has its own privacy policy governing how it handles your information:

  • Shopify Inc. — powers our online store, checkout, hosting, payment processing (Shopify Payments), and our marketing emails (Shopify Email). See Shopify's Privacy Policy.
  • Meta Platforms, Inc. — the Meta Pixel embedded on our site supports advertising and analytics on Facebook and Instagram. See Meta's Privacy Policy.
  • Tally — the survey tool we use to collect customer feedback. See Tally's Privacy Policy.
  • Canada Post — our shipping carrier, which receives your name and shipping address to deliver your order.

6. How We Share Your Information

We do not sell your personal information. We share it only:

  • with the service providers listed in Section 5, solely to help us operate our business and fulfill your orders
  • if required by law, such as in response to a court order, subpoena, or regulatory request
  • in connection with a merger, sale, or transfer of all or part of our business, with notice to you where required

7. Data Retention

We keep your order and customer information for as long as needed to fulfill your order, respond to any customer service issues, and meet our legal and tax obligations, including CRA record-keeping requirements (generally six years). Survey responses are kept as long as they remain useful for improving our products. If you're subscribed to our marketing emails, we keep your information until you unsubscribe, plus a reasonable period afterward to process your request.

8. Your Privacy Rights

Solera Medical Apparel Ltd. is based in West Kelowna, British Columbia, and we handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. You have the right to:

  • ask what personal information we hold about you and request a copy
  • ask us to correct inaccurate or incomplete information
  • withdraw your consent to marketing communications at any time (using the unsubscribe link in any email, or by contacting us directly)
  • ask questions about how we handle your personal information

To exercise any of these rights, contact us using the details in Section 11. If you have concerns we haven't resolved, you may also contact the Office of the Privacy Commissioner of Canada.

9. Children's Privacy

Our website and products are not directed to children, and we do not knowingly collect personal information from children under 13. If we learn that we've collected personal information from a child without appropriate consent, we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We'll post the revised Policy on this page with an updated "last updated" date, and for significant changes, we may provide additional notice, such as by email.
